Tender description
This project is funded by Teach First and Sheffield Hallam work collaboratively with them to deliver the Teach First PGDE. During the 1st year of the 2 year course students attend 4 weeks (27 nights) of residential training at the University during the summer. During this time students will attend sessions either at the university or at schools in the locality. A number of students will attend schools in other regions which will require them to stay at other locations. During this time it would be expected students could leave personal belongings in their allocated rooms. The maximum number of students requiring accommodation for 2018 is 200 and the guaranteed minimum student number is 150. The actual number will be confirmed 2 weeks before students are due to arrive. The maximum budget per student per night is GBP 40 inclusive of VAT. Aims accommodation should be suitable for students in order for them to feel safe and supported in a professional environment conducive to learning. Being accommodated in the same vicinity provides an opportunity for students to build as a team in a short period of time and feel supported. Scope — The following requirements are mandatory and must be met to fulfil this tender: — located under a mile from Charles Street Building, Sheffield S1 2NH, — single with en-suite bathroom room, desk, power and adequate lighting, — internet access (Wi-Fi enabled), — laundry facilities — iron & ironing board, — kitchen/dining facilities: full working kitchen to include: fridge, cooker, microwave, hob, sink unit, kettle, toaster, dining facilities — i.e. chairs table/breakfast bar and provide sufficient space for all students to eat together, — bedding pack per student to consist of: 1x Duvet, 1x Pillow, 1x Flat sheet, 1x Duvet cover, 1x Pillowcase, — kitchen pack per student to consist of: 1x Plate, 1x Bowl, 1x Mug, 1x Knife, fork, spoon, 1x Small pan, 1x Frying pan, 1x Tea towel, — 1 bath towel per student, — weekly cleaning of rooms and kitchen areas to include linen and towel change, — social communal space, — assurance that once rooms are allocated and deemed suitable, the student retains the room for the full duration of the agreement (even if some students are not present at all times), — 24 hour security presence on site, with ability to deal with any student issues (e.g. key cards, access to rooms, assist with medical emergencies, etc.), — demonstrate a willingness to work with the University to ensure the smooth running of the contract, — a named contact, — assurance that check in on the first day will be completed in time for all students to attend the induction session, e.g. sufficient staff, — assurance that check out on the last day will be completed in a timely manner with sufficient staff available to make this possible, — our preference is all accommodation should be under one roof. However, we would accept split sites if they were close together and provide consistency with regard to facilities. No student should feel they were assigned the last choice rooms. In addition to these requirements, providers should be able to offer reasonable adjustments for: — students with specific mobility or access needs, — single sex requirements, — family accommodation (intended for students who have carer or childcare responsibilities). Performance measurement and assessment: — monthly report to show the number of rooms required are on schedule, — confirmation that deep cleaning of all rooms, including any communal areas, (corridors, outdoor spaces, common rooms) are on schedule, — report to show results of on-site checks/cleaning during the run up to arrival of the students and during occupation (monthly from Feb-May and fortnightly in May and weekly from June onwards), — immediate reporting of any complaints and resolution processes, — end of contract report to show results of final checks of rooms. This should be received within 1 week from when the students move out of the accommodation.
