Tender description

Recreation Services manages the facilities and services offered at the following States of Guernsey owned venues: - Beau Sejour Leisure Centre (www.beausejour.gg); - Footes Lane (including the provision for hockey, football, rugby and athletics) (https://gov.gg/article/152063/Facilities); - Delancey Park (Football, cycling and bowls); - Fort Le Marchant Rifle Range. In addition, the ICT LMS provided by Recreation Services for Events and tickets is utilised by the Performing Arts Centre (PAC), Candie Museums, Guernsey Information Centre and St James. Beau Sejour Leisure Centre alone has a footfall of over 600,000 per annum, providing a range of services and facilities, including (but not limited to): • Memberships (c2650 ‘live’ members) • Swim School (over 2,200 students on taught per week, and an additional c1,500 pupils taught per week during the summer term as part of the ‘Swimming in Schools’ initiative); • Sports facilities (large sports hall, five squash courts, six tennis courts, two football pitches etc.); • Swimming pools; • c90 station Gym; • Retail; • Bar and Café; • Events – Corporate Events, Trade Fairs, Concerts, Dinner Dances etc. up to a capacity of over 1,000 utilising a wide range of set-ups; • Meeting Rooms; • Cinema; • Theatre (c400 seat permanent rake); • Online ticket sales for events; • Children’s Holiday club and other activity sessions; • LifeFit (Exercise on Referral Programme) and separate Healthy Lifestyle Centre. The vision of the SMARTer Access to Sport, Recreation and Leisure project is to transform the way Sport, Recreation and Leisure facilities and associated services and products are managed and delivered to customers, in order to provide efficient, effective and customer focused services. This will include significantly improved on-line functionality for all customers, and a streamlining of back office functions to provide a reduction in bureaucracy and duplication. The existing ICT Leisure Management Systems used by Recreation Services for bookings, management, events, memberships, swim school and retail have been in operation for between 5-12 years depending on the system. These systems do not necessarily provide the required interfaces for the systems to talk to each other, and some are no longer provided with developments or enhancements to improve and advance the customer experience. In addition, in some cases, the technical support is not of a required standard. A key requirement of this project will be to drive more bookings through online access and to allow for registration, payment and cancellations online. Keywords: SMARTer
