This platform will meet the evolving operational demands and digital needs of NHSCFA servicing both internal and external user requirements. It will provide a cohesive and user-friendly experience for all staff and stakeholders, while meeting accessibility standards. Where the supplied staff will work No specific location (for example they can work remotely) Who the organisation using the products or services is NHS Counter Fraud Authority (NHSCFA) with users from external stakeholders in the wider health group. Why the work is being done The development of the Intranet and External Engagement Platform is required in order to improve NHSCFA’s digital workspace by: • Enhancing internal and external communication and collaboration • Creating a centralised repository for organisational knowledge • Implementing advanced search functionality • Incorporating robust security and data protection measures The business problem you need to solve There are a number of issues with the current NHSCFA Intranet and Extranet that negatively impact the effectiveness and efficiency of both internal and external communications and collaboration. These problems include, in more detail: - Management: The existing, separate, Intranet and Extranet environments, albeit on the same provider platform, require management of two distinct data and user sets when there is actually considerable crossover. Access control and data management is inefficient and a significant overhead. - Access Control: accessing certain restricted files currently may require users to re-authenticate. The current implementation of SSO and RBAC is limited and needs simplification and improvement. - Search: There is a large and diverse range of content on many topics on both systems which is currently inefficiently organised and which has limited search functionality available. This impacts on the user experience and improvements in search and ease of access to relevant information are crucial. There are also issues relating to the ease of hosting and accessing/displaying some data types, which range from blog posts and office documents to images and video. - Content Management: Current back-end functionality limits the flexibility and creativity of how pages and content can be displayed. - Reporting: currently, reporting of how the systems are used is limited and does not meet increased requirements for more detailed and advanced usage metrics. First user type: Total approx 1,500 users subject to growth and expansion. Intranet: 250 NHSCFA colleagues - Microsoft Azure SSO - Post messages/blog/news articles and respond to same. Access any content type using navigation and search. - Creators - design, create and manage pages and content. Extranet/Engagement platform: 250 NHSCFA plus approx 1200 external stakeholders in closed groups including DHSC, Directors of Finance, NHS Trust Audit Committee Chairs, NHS Fraud Champions, Local Counter Fraud Specialists and other public sector groups. - Post messages/news articles/blog and respond to same. Access any content type using navigation and search. Access is required to a wide range of information from static. generic content to breaking news. The system must show what is new to the site, and where something requires action along with supporting information. Content appears in list format so need a dating mechanism and also author tag. Engagement tools should be wrapped in with the content e.g. messaging function. We need better navigation to help show priority, supplemented by a really strong search function. e.g A current issue is with trying to find a policy, search returns too much detail, sometimes a whole page, and you need to know specific file title. It would be helpful to save searches and also develop shortcuts.
