Tender description
ITT for Maintenance, Repair and Overhaul (MRO) service covering ALL Air Conditioning, Air Handling Units and associated systems installed in New Forest District Council (NFDC) owned buildings Closing Date for Submission of Tenders 12.00 NOON, 19 JANUARY 2024 To be returned electronically via the Council's e-tendering solution "Pro-Contract" hosted on the South East Business Portal (SEBP) The contractor will provide a Maintenance, Repair and Overhaul (MRO) service under the following headings; Preventative Maintenance Programme: A fixed price Preventative Maintenance Programme (PMP) to service and maintain (in accordance with original equipment manufacturers OEM recommendations) the Air Conditioning, Air Handling Units and associated systems across all NFDC owned buildings (Offices, Depots, Leisure Centres and Residential Housing communal blocks) as defined in the site asset register (Appendix B1). Included in the PMP is the requirement for the Contractor to set up and maintain an F-Gas asset register to be updated and shared with the Council following each visit (PMP or Repair Response) as part of the fixed price. Repair Service: A Repair Response Service to attend NFDC sites between PMP planned visits for the purpose of ad-hoc breakdowns or repairs. A schedule of response types are set out in the outcome specification (Appendix B). The labour, overhead and materials costs related to the Repair Service will be defined by an agreed Schedule of Rates (SOR) and pricing menu. The cost of any repair service will be additional to the fixed price PMP service. Overhaul Service: An Overhaul element is included in the contract to allow the Council to instruct the Contractor to quote for overhauls to the ACHU system (e.g. upgrade or refurbishment) as instructed by the Council from time to time (note: this is not included in the PMP cost and will be subject to separate price quote for labour & materials (using the agreed SOR fees and pricing menu provided under the Repair Service) being approved by the Council. The Council does not guarantee overhaul works will be awarded under this contract and reserves the right to seek competitive quotations. Keywords: Air Handling Units, Air Conditioning
