DFP - Event Management Services for the Giro D’Italia Race at Stormont Estate

The Department of Finance and Personnel’s Properties Division is responsible for managing the grounds of the Stormont Estate. On Friday 9 May 2014, Stormont Estate will play host to the first stage of the 2014 Giro D’Italia cycle race. The team time trial will comprise of the 22 teams of 9 riders which will leave the Titanic Quarter at approximately 5 minute intervals and will pass through the Stormont Estate between approximately 1745 hours and 1945 hours. The teams may also practice on the course (including the section in the Stormont Estate) between 930 hours and 1130 hours. It is anticipated that approximately 5,000 spectators will view the practice session (i.e. between 930 and 1130 hours), and that 20,000 – 30,000 spectators will view the afternoon race from the Stormont Estate. It is further anticipated that those viewing the race will arrive on the Estate from 1500 hours. It is also anticipated that the ‘live’ television audience for the race will be approximately 900 million viewers. The Department of Finance and Personnel (DFP) would seek to appoint an Events Management Company to manage the spectator arrangements for this important event. This would include the safety arrangements, welfare and first aid facilities, stewarding, PA and ‘Big Screen’ facilities, PR etc An information session will be held in the Glasshouse on the Stormont Estate at 4pm on 18 March. This will last approximately 1 hour. Tenders will be given an opportunity to ask questions at the session to ensure a full understanding on the requirement. Only Event Management Companies who can demonstrate they have managed an event with a minimum of 20,000 spectators on-site will be eligible to submit a tender Tenderers will be required to present their proposals to a DFP panel on 24 March 2014 between 10.30am and 12.30pm.
