Audio Visual Services for Live Webstreaming

Tender description

The Policing Authority is seeking tenders for the provision of audio visual services and live webcasting of meetings held in public and other events. The Service Provider will be required to provide the following services for the Policing Authority meetings/events in public: • a live webcast of each public meeting or other event; • separate files containing recordings of the meeting and the post meeting press briefing for later use; • the creation and uploading of a thumbnail picture for each meeting based on specific instructions from the Authority; • several short clips (between 30 seconds and two minutes), specified by the Policing Authority, delivered within one business day of request, for release on social media. The files should be small enough to use on social media (e.g. Twitter) and the format should be .mov or MP4; • broadcast of audio through either the room’s P.A. system or their own PA system; • display a powerpoint presentation and include this in the live stream, if required; • provide a feed to attendees representing TV or radio channels, if required; • provide for attendance of one or more remote attendees by video conferencing including feeding active participation into the webcast stream and video recording; • management of every stage of the audio visual and live webcasting project and resolving of any technical issues that may occur; • supply of all of the required equipment including: - At least two cameras, microphones for up to 10 people seated at one table and microphones for 5-10 people at a second table with a number of additional roving microphones; - Two viewing screens for the audience; - The required number of speakers in the room to ensure that meeting attendees and audience can hear clearly; - Audio visual and mixing equipment for live-streaming to the internet; - Any other equipment necessary for the provision of the required audio visual and live webcasting services.
