Tender description

Cleaning and Caretaking Services for the following three Schools. All schools will secure individual contracts. Contract start date 1 April 2021 for an initial 3 year period with 2 one year possible extensions. Easingwold Primary School. Sheriff Hutton Primary School. Whitley and Eggborough Community Primary School. Issue of the Invitation to Tender by email 14 December 2020 Site visits by tendering organisations to Easingwold Primary – start time 9 a.m. 4 January 2021 Site visits by tendering organisations to Sheriff Hutton Primary – start time 10.30 a.m. Site visits by tendering organisations to Whitley and Eggborough Community School – start time 1.30 p.m. Deadline for submission of completed tender response 29 January 2021 Site visits to preferred contractor(s) sites 8 February 2021 Award of contract to successful company (subject to signing of contractual agreement) 15 February 2021 Commencement of new contract 1 April 2021 Aims of the service and tender The key aims of the tender are to: — provide a high standard of cleaning, — deliver the cleaning services with consistency – good quality assurance systems in place, — good communication at local and operations manager level with the Schools – two-way communication, — daily interaction with the business managers at each site, — develop an effective method of handing over any special needs and comments on a daily basis, — cleaners to work the hours that best suit the needs of the Schools and maximise the work completed, — training and development of the teams at the Schools. A completed form of acknowledgment with intention to submit tender documents should be returned no later than close of play 21 December 2020 and should detail who will be attending the site visit (please restrict this to one person) All of the tenders will be subject to a detailed evaluation process which will be based on an appropriate balance between sound commercial principals, technical expertise and a firm commitment to meeting all of The School’s requirements. The Schools will select the best value for money tender considering the following principal factors: — on site management support, — innovation, — health and safety, — external management and cleaning personnel support, — references provided, — effective quality systems and self-auditing, — cost, — the above criteria are not listed in relative order of importance.
