Tender description

The Royal Botanic Garden Edinburgh is seeking a supplier of herbarium specimen boxes to protect herbarium specimens as they are moved around the herbarium, and provide some storage for specimens. RBGE has a requirement for two herbarium boxes which are used to conserve specimens. The box sizes are below. Box 1 Large Unmounted Specimens (Red/Blue) External Dimension: 485 mm D x 350mm W x 205 mm H Box 2 Standard Mounted Specimens (Green) External Dimension: 500mm D x 315mm W x 205 mm H RBGE requires herbarium specimen boxes that meet the relevant conservation standards. Suppliers should consider the following when preparing their tender: The following details list below are the required standards that Herbarium boxes need to comply with. The use of equivalent standards is acceptable. 1. Relevant Conservation Standards, a. List all standards that are applicable for the materials themselves. b. Relevant certifications and standards suppliers or equivalent are required to meet: ISO14001 Forest Stewardship Council BS4971:2017 Conservation and care of archive and library collections’, which replaces PD5454 BS EN 16893:2018 Conservation of Cultural Heritage. Specifications for location, construction and modification of buildings or rooms intended for the storage or use of heritage collections National Archive Recommended Specifications for Box Board: National Archive Criteria for Evaluating Archival Box Board: information management/evaluating archival box board.pdf Material:1900 micron Meridian Acid Free 3. Cloth Material Arbelave Buckram Cloth Colour: red or blue or green. external covering of board. 4. Paper Material: Heritage Wood Free, buffered acid free. Colour: white paper to line all sides of box inner, including internal face of lid and front. 5. Glue Evacon R or Conservation PVA (no greater than 4% residual acid content) Colourless 6. Joints and Edges All board joints to be covered with Arbelave on both sides. All board edges to be covered with Arbelave turn Ins (no guillotined edges) 7. Front including label opening Lay flat drop front. Shouldered sides Opening mechanism/handle: Cloth web pull on front Integrated label opening within the drop front to allow for insertion of label card. 8. Lid 68 mm hinged, sloping lid that overlaps the front edge. 9. Sample Sample of Box to be provided as part of the procurement process if requested. The contract duration will be 24 Months from commencement with the possibility of extension for a further 2 x 12 months extensions. (Total of 48 Months) Quantities of the different boxes are out lined in the pricing template. It is expected in 2021/22 around 100+ boxes will be required.
