Tender description

1. Laptop/Macbooks: EIS will require Hardware Break/Fix support of 565 laptops which includes a mixed economy of HP Laptops and MacBook's (some are Windows 10/macOS dual boot, some are macOS). These vary in age, being purchased between 2013 and 2020. EIS have deployed MSOffice via Office 365 All devices are encrypted using BitLocker (Windows 10) or File Vault (macOS) Approx. 10% stock are securely stored of each model for replacements and new starters 2. Replacement Laptops/MacBooks A request for a laptop is initially actioned by the EIS Service Desk. They will send over details of which laptop is to be issued to the Break/Fix Supplier. This will then be built as per the appropriate build document and shipped to the user; The Break/Fix supplier sends an encrypted email containing password details to the user; The laptop that is being replaced is sent back by EIS to the Break/Fix Supplier to be assessed. It is then be repaired, scrapped or placed into the spares pool to be re-issued. 3. New users Laptops/MacBooks A request for a laptop is be initially actioned by the EIS Service Desk. They will send over the details of which laptop is to be issued. This is then built as per the appropriate build document and shipped. This is normally sent to a EIS site Business Administrator. The Break/Fix supplier sends an encrypted email containing password details to the user. 4. Laptop Build Documents There are currently 5 Build Documents:  Windows 10 HP Laptops 1  Windows 10 HP Laptops 2  Windows 10/macOS dual boot  macOS MacBooks  Shared User Windows 10 MacBook • Approximate volume of requests 5. The Break/Fix Supplier takes receipt of and repair faulty devices under manufacturer's warranty if applicable. Spare parts to be utilized from scrapped laptops or sourced elsewhere if warranty has expired. 6. Where physical drives are disposed of then all data will be removed and a Data Erasure Certificate will be issued to EIS. 7. Encrypted Hard Drives Approximately 100 encrypted external Hard Drives and USB sticks are stored securely. When requested they configured and shipped to users. Shipping is mainly to one of the EIS High Performance Centres. 8. Stock Control Currently Maintenance of asset registers including relevant passwords. Monthly reporting on stock levels 9. Liaising with the EIS Service Desk and EIS IS Team Responding to EIS Service Desk requests Proactive awareness of software updates liaising with EIS IS Team. Adhoc advice to the EIS IS team
