Tender description

BNSSG CCG Is seeking to procure communication management software for their communications and engagement team. The Communications and Engagement team manages relationships across a range of individuals, groups and organisations including but not limited to journalists, politicians, the voluntary/community sector and provider partners. The service will allow the team to record interaction with groups and individuals via a common, shared platform that promotes integrated working and information sharing across the team. The core features of the service are: • Web-based, allowing for on-call and out-of-hours use • Contact logging functionality providing ability to record details of interaction with journalists and other key stakeholders • Contact management functionality including self-managed contact database (ensuring that any amendments or updates are clearly captured) • Ability to create and share briefings, attach documents and other assets for access by other team members • Distribution module to issue news releases and other communications to groups on contact database (must allow us to ensure outputs are consistent with Accessible Information Standard) • Comprehensive and intuitive search functionality across all data categories • Allows multiple concurrent users (precise number to be confirmed, in range of 10-15 users) • Meeting NHS data security standards in the specification (Annex A) • Client user management, allowing administrator to create and delete user accounts • Accessible via multiple devices/platforms eg PC, tablet, smartphone • Access to comprehensive 24/7 helpdesk • User training • Access to support e.g. creation of templates for communication products The service will also be expected to port the data from the existing service to the new service. This procurement is being carried out by NHS South, Central and West Commissioning Support Unit (SCW) on behalf of the Commissioners.
