A Framework Agreement for the Provision of virtual and venue-based Event Management Support Services

Tender description

The EPA is establishing a multi-operator framework agreement for the procurement of the Provision of virtual and venue-based Event Management Support Services. This Framework may be used to support other events in 2020 and subsequent years of the Framework subject to funding approval. As noted previously the events may be carried out over half-day, full-day, or multiple days, and may be co-branded with other collaborating Agencies or Government Departments. Events may also be rostered for early morning ‘breakfast briefings’ or evening timetabled events. Events may also included quasi-legal hearings. Examples of the types of EPA events including the 2020 EPA Virtual Water Conference are available at http://www.epa.ie/newsandevents/ The events could be arranged for any county in the State. In the context of Covid-19 the EPA is also moving delivery of elements of its events roster to an on-line format which requires innovative web-based event solutions. The Framework invites tenderers to submit their solutions to, and experiences in, web-based eventing and the associated services. Please note that the EPA has the MS Teams Events platform which can be utilised for online events where appropriate. The majority of EPA led events do not incur delegate/attendance fees. The event support services may include event design, venue selection and liaison, managing invitations, delegate registration and management (pre-, syn- and post-event), AV and event recording, management of exhibitors, speaker liaison and support, transport arranging, event scheduling, event marketing, event literature design and preparation, accommodation management, event room(s) layout design, event signage, COVID-19 event checklists, security, social media management, post-event reporting, pre-recording and editing of footage, costs management, registration fee management (if relevant), and related services.
