Tender description

GCC is looking to procure an Off the Shelf evidence management software solution for Gloucestershire Trading Standards, which is part of Gloucestershire County Council. The software will allow seized items and documents to be uniquely identified; it will enable: • interrogation of information concerning precise storage location within the larger evidence store; • provide complete records of removal and return of seized items with justification/explanation for doing so; • provide a complete audit trail of sealing, unsealing; • movement of individual exhibits or parts of exhibit to the standard required to prove full continuity of evidence in legal proceedings; • records of destruction; • return of items; • the ability to produce receipts; • produce a variety of reports useful in wider evidence management; • To enable the authority to better meet its legislative requirements, including the Data Protection Act 2018, by providing the functionality to highlight information for disposal in line with the corporate retention schedule. The soft market research exercise will help to: • Identify the market’s ability to deliver business requirements and GCC’s obligations under the GDPR and the Data Protection Act 2018; • Assess market capacity and flexibility to deliver this procurement; • Understand the attractiveness of this opportunity to work with GCC to potential suppliers; • Advances in product that may be of interest when procuring; • Assess the potential level of interest in bidding for this contract; • Understand the likely costs associated with such a contract.
