Tender for Provision of AV Services for Event Series (March 23 - Feb 24)

Improvement Cymru have launched a new programme of work – the Safe Care Collaborative. This programme of work with health boards across Wales is interspersed with a series of 2 day learning sessions. All events are currently scheduled to take place on the Holland House Hotel, Cardiff. We are expecting between 250-350 delegates at these events. The events incorporate using one main room (the Calon Suite) and 3 further rooms being used as breakout rooms. The baseline requirement is as follows: Fully co-branded stage set (Improvement Cymru and IHI) with one screen that will fit the dimensions of the Calon Suite, Holland House Hotel to allow an audience size of 250-350. The solution provided should be able to be reused at each event in the series. As a minimum we would require a lectern on stage. We would like you to quote for sound, vision, visual lighting and crew for each set of dates. We would like itemised quotes with an overall costing for each session. There will be 3 breakout spaces: - these will be basic and require minimal supervision. Pembroke Suite and Brecon Suite will require a laptop and large plasma screen to suit each space. Caernarfon Suite will require a laptop and large plasma screen, plus PA system with x2 lapel microphones and x1 handheld microphone.
