About adding context and requirements test Pre-market engagement Pre-tender market engagement was undertaken with a potential supplier to assess the feasibility of the work and costs for budgetary purposes. Please see Attachment 1 to view a copy of the report from the pre-market engagement. Work done so far Following the pre-tender market engagement, minor configuration changes have been made to isolate the SharePoint 2013 farms from other corporate services. CMet believes it is in a position to move ahead with the upgrades to SharePoint 2016. Which phase the project is in Not started Existing team The supplier will be working with members of the server support team and the marketing team. They will be working with the server support team with regards to platform and infrastructure and the marketing team for everything related to content. The supplier will not be required to work with any other suppliers. The job titles of the main contacts for this contract are as follows: 1) Web Manager 2) IT & Information Services Manager 3) Head of Information Services Division 4) Head of Brand and Marketing Address where the work will be done It is anticipated that the work will be carried out remotely but if it is necessary for the supplier to attend site, the address is as follows: Cardiff Metropolitan University, Llandaff Campus, Western Avenue, Cardiff, UK CF5 2YB Working arrangements The supplier will need to be available during UK working hours in order to effectively communicate with CMet staff. It is likely that this work will be completed remotely and will need to be completed as soon as possible. Given that the work will be remote, the University does not anticipate there to be any expenses, however, these should be detailed in supplier quotes if applicable. CMet is seeking to upgrade 2 SharePoint farms which host its external website and staging area from SharePoint 2013 to SharePoint 2016." Where the supplied staff will work No specific location (for example they can work remotely) Why the work is being done The CMet website (www.cardiffmet.ac.uk) is currently running on SharePoint 2013 which is now out of support. Should the website be compromised, this would present reputational risks as well as jeopardising income. The highest risk will be around the clearing process when prospective students are looking at the website to decide whether to apply for the September 2023 academic year. Clearing officially opens on Wednesday 5th July and peaks on results day which is the 17th August 2023. The purpose of the work is to migrate the website to SharePoint 2016 to mitigate against potential breaches or issues relating to SharePoint 2013. The work must be completed by the 19th July 2023 at the latest because the website is the call to action for all advertising as prospective students will be searching for programme descriptions.
