Tender description
University of Limerick (UL) purchases a wide variety of goods and services from many suppliers with particular focus across education and research. In order to streamline purchasing from contracted suppliers, it intends to implement an online electronic catalogue service to reduce the administrative burden associated with the order process. It is intended that the supplier of this service will: • Provide an ICT system (cloud based) which will enable UL users to search electronic catalogues and select items in these catalogues to add to a “basket”. • Already have a database of suppliers (ideally in the education and research sector) on boarded to the systems • Easy to use product search functionality to enhance the user experience • Create an seamless process to navigate between Unit4ERP and the marketplace system • Integrate the system with the UL financial system (Unit4ERP) Commonly known as Agresso to enable the contents of that basket to be converted to a requisition or requisitions within Unit4ERP and follow the Unit4ERP approval workflow to Purchase Order. This will include a coding structure that is seamlessly integrated back to the Unit4ERP chart of accounts. • Provide full support to identify key suppliers approved by UL, facilitate the onboarding process of those key suppliers and liaise with suppliers to ensure provision of up to date catalogues on the SSP’s system. • Provide full reporting on purchases through the system. • Implementation plan (including configuration required) and related support to achieve successful rollout of the system Currently 1,300 staff access the requisitioning system and it is expected that the system would be flexible enough to scale the number of users as the University grows. UL uses Unit4ERP commonly known as Agresso and Microsoft Edge is the standard internet browser.
