Online Scholarship Management System

Tender description

The system must be tailorable to suit DARO’s multiple scholarship processes. It must link from the scholarships listed, now and in the future, on the Uni’s scholarship webpage to the relevant application form on the system. When registering on the system, users must be able to set up a profile which will be automatically pulled into any scholarship applications that they choose to make in the future. The progress of applications must be clear on the system to both administrators and applicants and the system must have capacity to set up automated prompts / reminders / notifications e.g. ‘Your application is not yet complete and the deadline is ____.’. Once the scholarship programme deadline has been passed, and applications have been submitted, the system must be able to issue anonymised application forms to designated selection panel members so that each panel member can score them individually. Scores from selection panel members must then be collated by the system and a ranked order of applicants provided. The system must be able to support automatically generated award / regret emails to applicants after selection has been finalised. Dashboards or other forms of visual reports must be readily accessible on the system and tailorable to DARO’s requirements. For example, a dashboard showing the number and value of scholarships awarded within a given period of time, or a dashboard showing the value of scholarships awarded within a specific programme. It must be straightforward to export data from the system in a format which can be imported into DARO’s alumni and supporters database e.g. in .CSV format. The system must enable the administrators to set various levels of permission for users to ensure security of data held. Support services must form part of the scholarship management system package, including but not limited to introductory training (online), assistance with setting up templates for existing scholarship programmes on the system.
