Summary of the work We are seeking a Salesforce Partner to provide development expertise on our Salesforce platform. Salesforce has now become our key business tool, widely adopted throughout the organisation to support our business objectives. We are seeking a Salesforce partner who can provide development expertise for a variety of project requirements Expected Contract Length 2 Years Latest start date Thursday 1 April 2021 Why the Work is Being Done We are seeking a Salesforce Partner to provide development expertise on our existing Salesforce platform. Since implementation in 2019, Salesforce has now become our key business tool and is widely adopted throughout the organisation to support our business objectives. We are seeking a Salesforce partner who can provide development expertise for a variety of project requirements which may arise over the next two years. With the first project being delivery of a “Diagnostic Tool” see requirements attached. The rest of the anticipated work is seen in the breakdown below; L&P Development Work Year 1 Year 2 ERDF Projects related to BGP and MIBP Diagnostic Tool (based on quote) BGP Portal (TBC based on quote) Alumni portal (TBC - not yet scoped) Additional over 2 years Problem to Be Solved We need a trusted partner that can understand and support our business and deliver ad-hoc development projects as they arise over the next two years Who Are the Users Our users are in US, Canada, China, India, France and Germany. We have 138 Salescloud licences and 45 Platform licences. We use Salesforce for: • Managing multiple types of Leads and Opportunities o Including Weaver (document creation) integration o Including Microsoft Dynamics NAV integration • Managing Campaigns and integrations with DotDigital and Eventbrite (using Workato and Rapido respectively) • Managing our interactions with partners and members of our cohorts • Managing two portals (Communities) o Including an integration with Sharinpix • Calculating our GVA (Gross Value Added) which is our main output measure • Calculating Value in Kind Early Market Engagement We have received one quote for delivery of the Diagnostic Tool Work Already Done Salesforce instance has been operational since April 2019. Two Communities portals went live in: • November 2019 • June 2020 Existing Team Head of CRM Salesforce Lead (currently carrying out all Admin duties) Superuser Team CTO Salesforce partner providing support Current Phase Live Skills & Experience • • Have experience engineering Salesforce solutions for Membership Organisations • • Have experience working with Not-for-Profit organisations Work Location London & Partners 169 Union Street, London SE1 0LL Working Arrangments We expect that work will be split between our premises (when that is possible) and remote working. Security Clearance N/A No. of Suppliers to Evaluate 3 Proposal Criteria • • Provide a rate card detailing job function and hourly and day rate for the NFP sector. • • Provide an indicative cost for the Diagnostic Tool • • Outline how you have previously approached working with an instance implemented by another partner • • Explain the techniques you would use to gather requirements in order to build a solution meeting business needs • • Provide an example of a complex configuration that demonstrates your Salesforce expertise • • Provide an example of how you were able to improve existing processes or ways of working to deliver efficiencies to a client • o Please detail your team structure and Salesforce qualifications • • Outline your project management and development approach • • Please outline how you monitor your own performance and quality Cultural Fit Criteria • • To work as one project team with London & Partners; sharing knowledge and experience to upskill our internal team • • Give examples of how you would work collaboratively with London & Partner colleagues • • Ability to challenge our approaches, business processes and add value from previous implementations • • Ability to be flexible to changing/uncertain requirements • • Give examples of how you would transfer knowledge & skills to London & Partners delivery team • • Work transparently and collaboratively in a no-blame culture, encouraging all to fail fast and learn from mistakes Payment Approach Time and materials Evaluation Weighting Technical competence 60% Cultural fit 10% Price 30% Questions from Suppliers 1. We are a SalesForce Gold partner and a specialist in Development and Support of SalesForce. I am very interesting in working with you on this contract, but bidding is expensive. I would like to be sure I understand how you currently procure salesforce resources for development and support please, to me qualify this opportunity. Kind regards We are looking to appoint a supplier via the DOS 5 CCS Framework. We have used this framework previously and to appoint a supplier we will follow all steps as prescribed by the CCS. If you feel this opportunity is of interest then we will consider it, conducting a thorough evaluation process. 2. Would you consider the use of subcontractors and/or specialist partners? No we are looking to work directly with a partner 3. Previously your request for a partner was restricted to suppliers that ‘must be London based’. Is this still the case? We recognise from the opportunity that the client organisation ‘expect that work will be split between our premises (when that is possible) and remote working’. Would it be appropriate to position mainly offshore delivery with some local presence (eg architect) who could work on-site when possible? Yes 7. In the Section “Work Setup” Work place is mentioned as London. Are we ok to consider if there can be a offshore/onshore blend ? Yes 8. In the Section “About the Work” it is mentioned “With the first project being delivery of a “Diagnostic Tool” see requirements attached.” We could not find the requirements documents attached. Can you let us know if we will have access to review the requirements and provide any estimates or raise clarifications? "Diagnostic Tool – High Level Requirements The Business Growth Team uses a diagnostic tool to identify barriers to a company growing and then identifying solutions to the specific barrier. Integrated to Salesforce, Eventbrite/Zoom, Weaver (doc creation tool), DocuSign Includes a questionnaire which can be used to identify SMEs barriers to growth in areas such as Sales, Raising Funds and FinanceThe tool will enable Business Growth Managers to link information (web based, notes, etc) to specific barriers such that the report (which will form the basis of the Growth Plan) will include a solutions column for overcoming the specific barrier. 9. Is the current Salesforce support partner bidding for the work published on digital market place? We have no sight of which bidders are submitting bids for the work until after the deadline.
