Provision and installation of an accounting software solution

Tender description

IAASA invites proposals for the provision of an accounting software system to manage the recording and processing of day to day financial transactions and produce financial reports and statements. The number of transactions processed does not exceed 100 transactions per month. IAASA is funded quarterly by a small number of bodies & audit firms. IAASA’s payroll is prepared and processed by a third party, the National Shared Service Office, as a result there is no requirement for payroll at this point. While IAASA is currently reporting on a manual basis with no incumbent FMS in operation, limited data import from MS Office applications will be required. The services required: • Provision of software to include purchases order module, Purchases ledger, Sales ledger, nominal ledger, cashbook and reporting facility • Implementation of software • setup of systems • Provision of project management service to support migration of the existing financial data to the new system. • staff training to provide and maintain a financial system • provide comprehensive technical support, and • licensing Key business deliverables: • Improve information & reporting capability by eliminating duplicate reporting and reducing the need for separate spreadsheet. • Full compliance with Purchase to pay procedures as established by IAASA • Email and hyperlink access are essential. • Reduction in the level of manual inputs and processes. • Automation of workflows, approvals and authorisations. • Ability to interface with our banking system • Facilitate professional service withholding tax deductions and returns • Facilitate 4th Schedule VAT deduction and returns • Open and closed period accounting • Solution must be accessible and provide full functionality remotely • Easy access to information for decision making • Include export to Excel reporting facility • Increased visibility of project expenditure and financial control. • System controls – user-level read/write access control
