Tender description

Why the Work is Being Done Our current intranet has been in place for more than 15 years. It is widely used by staff for many purposes but is becoming progressively harder to manage. It is based on outdated technology, is difficult to update and maintain, and has poor search capabilities. It does not allow for personalization or for users to manage their own content. We are therefore planning to build anew intranet on SharePoint and need a company to help with the initial design phase of this work. Problem to Be Solved Our new intranet needs to be more user friendly, enabling personalization, ease of finding information, and the ability for users to manage their own content. Who Are the Users Users are all employees, who use the intranet to access business information. Early Market Engagement Our employees indicate that they value the intranet and that is it a widely used tool. Their main concerns are the poor search capability and inability to access from certain devices, and well as the difficulty in updating and maintaining content. Work Already Done Existing Team Content on the intranet is managed by the Internal Communications Team, and technical support is provided by the IT Services team, which includes SharePoint development capability. Current Phase Discovery Work Location Teddington, Middlesex, TW11 0LW. Working Arrangments Given the current situation we would expect as much work to be conducted off site as possible, but there may be some requirements for site visits. Security Clearance Additional T&Cs Skills & Experience Experience of developing and enterprise SharePoint online intranet useing a Communications site on an MS365 tenant Provide an information architecture/site map for the current and new intranet Produce UX designs/wireframes compatible eith SharePoint online communications sites Enable hub & spoke site integration with the IA Have experience of MS365 widgets, Yammer, Steam, PoweBI and MS graph data to promote 'intelligent intranet' Plan how existing Communication sites can be incorporated into the new intranet Deployment plan using MS365 test environments Nice to Haves No. of Suppliers to Evaluate 5 Proposal Criteria Technical solution Approach and methodology Value for money Team structure Cultural Fit Criteria Work collaboratively with our team Share their knowledge and experience Have a constructu ve approach to receiving feedback and correcting mistakes Be well organised, with good attention to detail Payment Approach Fixed price Assessment Method Evaluation Weighting Technical competence 50% Cultural fit 10% Price 40% Questions from Suppliers No questions have been answered yet Budget range
