Sheffield Hallam University wishes to appoint a supplier to provide large-scale lecture capture capability across the University. All references to ‘the University’ include all wholly owned subsidiaries of the University, including but not limited to SHULaw. This tender exercise aims to find a lecture capture solution to improve retention, student attainment and inclusive practice through the recording of formal lectures. In line with these requirements, and based on evidence from the sector, we view ‘Lecture Capture’ as a method to meet these priorities by providing students with access to elements of teaching they may not have experienced, or wish to revisit. Scope Scope of the contract The software Licence(s) Hardware recording appliances, which are in scope but may not be required System implementation Initial training Technical support Standards of reliability and availability, which will be agreed with the successful supplier System speed and quality as specified in your tender submission Recourse to corrective action/compensation if agreed standards relating to down time/speed/quality are not met Upgrades/new modules/system developments/enhancements Phases This service to be provided, as a result of this tender, will be delivered in 2 phases; Phase 1 — lecture theatres only Phase 2 — other teaching spaces The continuation, from phase 1, into phase 2, is wholly dependent on the outcomes of phase 1. Phase 1 — lecture theatres only — the university intends to award a contract for the supply of a system, in 30 lecture theatres, over one semester. During this time and for a period of several weeks thereafter the university will appraise the merits of the system and the supplier. During this phase, it is intended that only audio and screen contents are recorded. Phase 2 — other teaching spaces — following a successful phase 1, the chosen supplier will work with the university to integrate the chosen system into the remaining teaching spaces. As part of this wider roll-out, we may also wish to incorporate additional recording sources, such as from webcams and visualisers, in some or all rooms. The precise scope, scale and timescale of this roll-out will be agreed with the chosen supplier at the start of Phase 2 but we anticipate a full roll-out over the course of 12 months. The roll-out would be across a maximum of 340 teaching spaces which would include standard classrooms/seminar rooms and PC labs. This timescale and number of teaching spaces is for guidance only and is subject to change. We have requested pricing as specified in reply form 2 but the scope and speed of roll-out will be dependent upon phase 1 success and budget constraints. Outcomes The procurement of the lecture capture system at the right cost. A relationship with a supplier that meets all of the University's needs (see below and essential requirements detailed in Reply Form 3) To enable the creation of lecture recordings as well as collection of learner analytics to optimise learning and support. Greater digital literacy from academic staff. Higher NSS scores in: overall satisfaction, teaching on my course and learning resources. Improvement in retention figures. Improvement in attainment figures (% of students gaining a good degree classification; across all demographics) measured by DLHE and HESA. Improvement in support for the diverse needs of different groups of students, such as students with disabilities, international students, commuter students, etc.
