Tender description

The tender is to establish a framework agreement for the supply of total document storage, scanning and digitalisation solutions. The framework agreement will be split into three lots: — Lot 1: Total Document Storage, Scanning and Digitalisation Solutions — Lot 2: Document Storage, Retrieval and Destruction Services — Lot 3: Document Scanning, EDRMS, Digitalisation and related services. The duration of the framework agreement will be four (4) years at a maximum; two (2) years initial period with the option of extending for two (2) periods of 12 months. Tenderers are required to submit a full service offering to be eligible for award. The service offering in lot 1 will include: • document storage • document scanning • EDRMS software and cloud solutions • digital transformation consultation • secure destruction of electronic records. Should tenderers wish to be considered for lot 1, a separate response should be submitted. Lot 1 shall be awarded to the 5 successful Tenderers whose bids for the lot are the most economically advantageous and are able to provide all services in line with the specification. The product offering in lot 2 will include: • document storage • document movement (retrieval, collection) • secure destruction of records. Should tenderers wish to be considered for lot 2, a separate response should be submitted. Lot 2 shall be awarded to the 5 successful Tenderers whose bids for the Lot are the most economically advantageous and are able to provide all services in line with the specification. A participating authority may award a call-off contract under this lot for up to 4 years including all extension options. The product offering in lot 3 will include: • document scanning • electronic document movement (retrieval) • secure destruction of electronic records • cloud based storage of electronic records • electronic document management software • digital transformation consultation. Should tenderers wish to be considered for lot 3, a separate response should be submitted. Lot 3 shall be awarded to the 5 successful tenderers whose bids for the lot are the most economically advantageous and are able to provide all services in line with the specification. A participating authority may award a call-off contract under this lot for up to 4 years including all extension options.
