Tender description

Kildare County Council intend to enter into a contract for 3 years with Surfbox for the provision of print and Go, a self-service print solution to manage all aspects of public printing, photocopying and scanning services in their public library network. The service includes full management of all cash handling and contactless payments. Sufbox is the only supplier providing this complete service solution and, subsequently, the only supplier who can satisfy Kildare County Council’s need and requirements in this area. The objective of this ex-ante voluntary notice is to inform the market of the intention to enter into a contract with Surfbox. Kildare County Council intend to enter into a contract for 3 years with Surfbox for the provision of Print and Go, a self-service print solution to manage all aspects of public printing, photocopying and scanning services in their public library network. The service includes full management of all cash handling and contactless payments. The contract will be signed by Kildare County Council and Surfbox. Kildare County Council offers a printing, photocopying and scanning service to the public for a fee at all 14 branch libraries throughout the county. Printing: print management software in place whereby the printing is released by library staff at the circulation desk and payment transaction takes place with staff member. Photocopying: staff take the material from the patron, photocopy it for them, and then payment transaction takes place at the circulation desk. Scanning to email: this is free of charge, but library staff perform the task for the patron. Libraries do not currently have capacity for card/contactless payments, so staff have to handle cash for these transactions, up to an including lodgement. Due to the significant amount of staff time spent on providing this service and all subsequent cash handling and lodgements, a self-service system for the public is desirable. Additionally, due to the unforeseen circumstances presented by the Covid-19 pandemic, contactless payments are preferable. Sufbox is the only supplier providing this complete service solution and, subsequently, the only supplier who can satisfy Kildare County Council’s need and requirements in this area. The objective of this ex ante voluntary notice is to inform the market of the intention to enter into a contract with Surfbox.
