Tender description

The EVE programme provides Royal Botanic Gardens Kew (RBGKEW) with a number of opportunities to grow its revenue streams and to achieve operational efficiencies through a single integrated landscape that will enable phased delivery of business capability over a period of time. The period of the contract is intended to be 4 years across multiple phases. It may be extended by RBG Kew for up to 2 years, renewable annually i.e. 1 + 1 years. We are looking for suppliers to provide an integrated solution, which combines multiple systems as required. However, the solution is likely to be composed of the following building blocks (the current position has also been added for information): Retail management: the new system will need to support both physical and online sales; elements of the system (e.g. a product catalogue) may support other parts of the over-arching solution Ticketing: which integrates with our membership/fundraising system and is used for ticket validation at entry; there is also a link with the car parking solution at Wakehurst to enable members to park free of charge (FOC); tickets are sold face to face (f2f) at the various entrance gates, but also online via a number of third parties — the main outsourced solution for ticket sales is due to be re-tendered shortly. CRM: there are a number of systems in use across the organisation, which house information relating to visitors, members and other individuals who interact with us; these are used to drive bookings for venues and events and also linked to outbound messaging and inbound query resolution. Ecommerce Integration: a move to a new Magento 2 platform is scheduled for completion by June/July 2020. Data/BI/analytics: an over-arching data management (and associated reporting/analytics approach); supported by reporting and analysis within individual systems and functions. Car park (Wakehurst): a new physical solution (barrier and linked machines) is required at Wakehurst; some sort of data integration will be required, to take vehicle numbers, space utilisation, average parking times, etc. and incorporate that into the data/BI mentioned above.
