Tender description

This procurement is for the provision and management of Event Production Services for the London Borough of Newham Events in 2020-2023. The service sought is that of a single Event Production Company per lot which will work closely with the Council events team to deliver all areas of production for our annual corporate events programme which includes 3 major outdoor events (Newham Show, Under the Stars and Fireworks Night) and also any ad hoc events as and when required. The successful supplier will be expected to source and manage all event infrastructure by working with specialist third parties. They will also procure services and commission jobs as appropriate within the given budget for the events’ production. The successful supplier will have to oversee the delivery of these services; review performance and contract manage all the third party technical event suppliers on behalf of the Council. This lot relates to production, design, technical services and management of outdoor public events attended by up to 50,0001 persons. Includes event and production management 2 for large scale outdoor public events; previous examples include the Newham Show and Under the Stars at East Ham's Central Park, and Fireworks Night at Silvertown Quays, Royal Docks. It is anticipated with large scale and major outdoor events that impacts may be felt across an area wider than a single defined event space, with possible transport implications and road closures. This lot relates to the provision of event technical services for events including audio-visual, set build and on-site support. Includes technical services for indoor events, e.g. conferences, exhibitions and public meetings, as well as small outdoor events; previous examples include Love Life Gala, Electoral events, Holocaust Memorial Day, Remembrance events, Full Council meetings, and also providing ad hoc AV support at conferences and meetings as and when required.
