Tender description

Avdeling for patologi ved St Olavs hospital HF h[the Pathology Department at St Olavs Hospital Trust] aims to, as far as possible, automate paraffin embedding of histological sample materials and wants to procure a system for automatic embedding. The department is well known in the market. We have considered using an open tender competition procedure, but found this would not be appropriate as there is only one relevant supplier, Sakura Finetek, who delivers AutoTEC a120 (2nd generation). This instrument is a newer version of the instrument that the department has leased since 2012 and meets the department's requirements and needs. The department has a sample quantity of 400-800 paraffin blocks per day, of which approx. 200 are urgent samples. In 2012, the department signed a leasing contract for Tissue-Tek AutoTEC from Sakura Finetek for automatic embedding. The goal was to embed all samples in this instrument. This would standardise section extractions on excisions/macro and to quality assure and streamline the embedding process. Automatic embedding in this machine requires good preparation and each sample type in the department has been carefully validated for automatic embedding. The use has gradually increased and recently in 2019, new samples types have been automatically embedded in this instrument. Currently, approximately half of the samples are automatically embedded on AutoTEC. The leasing contract expires in 2019 and the department must implement a new procurement. In the embedding system, sample must be able to be collected from the feed process (dehydrating and paraffin infiltration in machines) and set in the embedding system for fully automated filtration. The system must be able to be loaded with samples successively and have the capacity to embed all histological samples each day. The system should be able to connect to the department's LIS system for tracking of samples. The department is well known in the market. The department is now very well versed in this system and aims to further increase the utilisation of the instrument. Contract period: from 1.1.2020 to 31.12.2024 (1 year + 1 year). Price contract: agreed price per embedding. The price must include the instrument (that is the tenderer's property), consumables, technical service, installation, training and support during the entire contract period. The estimated price is 4 000 000 NOK excluding VAT over 5 years.
