Tender description

Transport for London (TfL) is seeking a strategic replacement for its three existing intranets (Source, LU Intranet and Working at TfL). We’ve already invested in Office 365 and need to support employees to use all its functionality through a “digital workplace”. Consolidating intranet content into one intranet, accessible from many types of devices, from anywhere, is central to the digital workplace strategic framework. Our most recent employee survey told us that our people want to be allowed to work in more innovative ways and be able to collaborate with people from other teams. We don’t have a consistent approach to corporate intranets and aim to merge them, providing people with the information and resources they require to do their job. We want to focus on four key areas in order to initially deliver a minimum viable product, summarised below with a detailed breakdown of our functional and non-functional requirements included as appendices: 1. A way to target content to specific audiences that leverages on existing investment in new technology and tools. Employees will have a digital workplace that pulls together relevant content based on who they are, where they work and what they do. They’ll have personalised newsfeeds of content and ways to quickly access the tools and services needed to perform their role. 2. An improved global search to help colleagues find information easier and quicker. One search engine will intelligently discover content across the intranet, SharePoint sites as well as other tools and services. Content will be tagged with metadata and stored in a flat hierarchy to make it easier to discover. Search results will be able to do drill down into and preview content directly, without leaving the page. 3. A modern phone directory, whereby it is easy to locate people and their contact details. Employees will be able to directly update their own contact details and other information related to their role and person without needing to follow the existing manual process. People will be able to easily connect with colleagues they find, based on how they prefer to be contacted. The directory will also make it easier to connect with operational locations. 4. A solution that is accessible on any device, anywhere. Whether someone is sat at their desk, travelling between locations with a company device, or on the way home using their own mobile, they’ll be able to quickly access content. Intranet editors won’t need to worry about creating different variants of content for different devices. These key areas were developed following extensive research in 2016/17 as part of a previous attempt to tackle consolidating intranets (put on hold prior to business change). All three existing intranets are hosted in separate instances of OpenText Web Site Management 11.2.
