This is a market information exercise and may not necessarily lead to any future procurement process. In the event that it did proceed, it is not yet certain which procurement route would be followed. Suppliers will be neither advantaged nor disadvantaged by responding to the PIN Hampshire County Council is carrying out a market engagement exercise to understand the integrated Membership, Bookings and EPOS Market. Suppliers are invited to a Supplier Day via the Questionnaire upon Completion of the Market Engagement Questionnaire HCC will review your submission and Offer or Decline you a place at our Supplier Demonstration Day. This is an opportunity to have one to one conversations between suppliers and service users. Suppliers are asked to bring samples of products to demonstrate and information on the functionality of the products as well as indicative costs. Hampshire is in the top 10 of the largest counties by land area, with a population of 1 320 000. Each year Hampshire is visited by 4 500 000 staying visitors and a further 52 000 000 day visitors. The County Council provides a mix of services to its residents and visitors including, Archives and Records service, 48 libraries and Discovery Centre's, over 80 countryside sites including; 5 major Country Parks, Outdoor Centres providing leisure activities, plus other visitor attractions. Responses to the supplier day will not be used to evaluate your company, create a short-list or guarantee inclusion or exclusion in any resulting tender exercise. This exercise is to obtain feedback to inform any potential future tender process only, which will require further registration and appropriate assessment. Our service representatives, IT and transaction officers will be attending to explore the range of Membership, Booking and EPOS solutions available to support their business needs. This is a market information gathering exercise to aid us in developing our requirements we are looking for a solution to include all hardware and software. The solution must cover a range of payment methods (e.g. contactless, cash, online, gift cards, vouchers). The solution will need to integrate with or have the capacity to perform a customer loyalty function, generate customisable reports, and undertake stock control, process memberships, process bookings and ability to customise product offers. The Demo will be a 1 hour slot to run through how you will meet the scenarios we have presented in the questionnaire, and talk through the software used in the scenarios. Please note — HCC's main desire is for a demonstration of a working, integrated solution, either from a single supplier or multiple providers working together. It will be preferable that in a multi-supplier solution that one takes the lead and acts as the primary supplier. As a fall-back position we could consider performing an integration of “best of breed” partial solutions if it is clearly identified on the questionnaire that this would be required. High Level Requirements: Loyalty scheme capability for members and non members. The ability to offer “memberships” to citizens to manage interactions (essentially a CRM function) or that show that the citizen meets the qualification or training pre-requisites for a course, event or facility. The ability to take and manage on-line, telephone and in-person bookings for events, courses or facilities that may consist of single, linked or batches of sessions. May have a limited “seating” capacity. May span more than 1 day (for example, camping pitches). May have pre-requisites. To be able to take payments On-line/telephone electronic card payments (using ePayments) on premises cash, cheque or card payments (also using ePayments) To be able to offer and manage “Gift Cards”, offer discounts, handle “Child Vouchers” and allow refunds To include the electronic Point of Sale function/devices, card readers and badge scanners To integrate with the IBC SAP system to post accounting information To include small stock items
