The Provision, Support and Maintenance of a Project and Portfolio Management Solution

Tender description

The Solution must satisfy the business requirements of the RSA, to enable the operational processes for managing and reporting on projects to become simpler, in particular; i. where possible, the RSA is seeking an Out of the Box (“OOTB”) Project & Portfolio Management Solution ii. a Solution which is hosted by the Successful Tenderer; and which: a. reduces the dependency on several, non-linked tools; b. allows the creation of a master list of suggestion projects (or ideas) from which live projects can be created – following a suitable workflow; c. allows the creation and management of large numbers of projects simultaneously during annual business planning or multi-annual planning; d. allows the bulk loading of project data of suitable data format into the system via Excel or similar; e. allows users to create, plan and view projects, within the context of other scheduled, live projects; f. allows users to easily update project status across multiple live projects per user with minimum overhead; g. allows Action logs, RAID logs, KPIs, timelines & status of projects to be tracked, compared & stored amongst projects & portfolios; h. allows for resource management, including time tracking, assignment of resources to projects, forecasting and skills planning; i. allows for financial management; j. allows workflows to be set up; k. can generate dashboards; l. allows for the aggregation of information defined and collected within the Solution; m. allows for the tracking and reporting at programme and project level with multiple levels of programme allowed for “slicing and dicing” or portfolio performance; n. is capable of integrating with other software, including but not limited to: i. Microsoft Office 365; ii. Unit4 Business World On; iii. Microsoft Active Directory; o. Training to be provided using a “Train the Trainer” approach. Reference materials and manuals also to be provided.
