Tender description
The Community Services team within Worcester City Council is inviting Quotes from Potential Suppliers for provision of the development and delivery of an events and grants self service portal for community organisations in the City and beyond to manage their applications in an efficient and proportionate manner. The Council requires the Appointed Consultant to develop an Online Events and Grants Portal linked to the City Council’s website and hosted externally, in line with the current requirements of GDPR with a responsive design accessible from a range of devices including laptops and mobile phones. The project will be managed through a project team within Community Services; with advice available through ICT within the Council’s South Worcestershire shared service arrangements. At present an excel spreadsheet is used to manage the community events function for the City. An application form is available as an online form https://www.worcestercity.org.uk/forms/?page_id=50# It is important to Worcester City Council that event applicants and organisers, dealing with both large significant events to attract visitors and smaller community events, experience a seamless and professional service. This system will enable the collation and reporting of accurate management information to reflect the status of events at any given time with minimum effort. The system professionalises the community events and grants function (also gives our internal processes more credibility and prevents events that are not fully compliant from taking place). Web based diary functionality would remove the need of the Clash Calendar currently produced by Worcester BID and would therefore be a dynamic document that could be used at the Strategic Events Forum (approx quarterly) which is attended by many of the main tourism bodies / centres and County Council (organised by the Economic Development Team) to plan City events.
