Tender description

The successful Supplier will be required to provide cleaning services at the Gilberd School based in Colchester. Gilberd School is a mixed 11-16 comprehensive school of currently 1 463 students rising to 1 620 within the ext 3 years. The school was formed in 1958 but moved to its current site in 1980 where a vast amount of expansion has taken place to accommodate the increasing student roll. The school is currently rated Good by Ofsted with aspirations to being an Outstanding school. All the school buildings are contained within the boundaries of one site in the centre of the Highwoods development in the centre of Colchester. The school has many excellent facilities including a new sports hall to add to the existing 1, gym, a Performing Arts block, as well as well-maintained other school buildings. The Gilberd prides itself in providing an excellent environment for students that is conducive to enhanced teaching and learning. The cleaning contract will commence on 27.11.2017 for an initial period of 3 years, with the opportunity to extend for a further period of a maximum of 2 years awarded on an annual basis at the discretion of the governing board. The contract shall commence on the site of the Gilberd School in Colchester. The Supplier shall provide a comprehensive cleaning service to the school site so as to promote a clean, healthy and safe environment which presents a positive image to all users and visitors. The school site must at all times meet health, safety and environmental standards appropriate to the site and its use and the successful Supplier must comply with the Client's health, safety and environmental policies and procedures. The services must be provided so as not to interrupt the routine of the school site. We are seeking a suitably experienced contractor who has current experience of working within the secondary school or HE / FE market place, ideally with a strong operational base within the Essex area, thus allowing for both adequate contract support and the operational flexibility that is to be delivered in support of the contract as and when required. The scope of the contract covers all cleaning provision within school buildings. The successful Supplier will be expected to deliver a concise and detailed method of management reporting at the end of each month thus updating the Client's senior management team on the contract performance. The projected cost of cleaning for the current year is circa 180 000 GBP, however it is believed that through improved equipment and cleaning material innovation and the effective recruitment, training and supervision of cleaning staff there is an opportunity for improvement. This sum currently includes 1 internal high level clean per annum, 1 prestige clean for open evening in September, termly painting of corridor walls, skirting and door frames. Any additional prestige cleans, e.g. every third year currently for an Ofsted visit would sit outside the contract. The Gilberd School is partnered with Manningtree High school whose cleaning service is currently delivered in-house. There will possibly be an option within the contract for cleaning services at Manningtree School to be delivered by the successful supplier however the supplier will be expected to quote separately for this additional optional work package. Expressions of interest are now being sought from companies who understand the market place and can demonstrate proven ability to provide excellent services for the Gilberd School and can demonstrate work at similar types of establishment and contract value. We will be looking for innovative ways of providing the service with environmental consideration. It is our opinion that in the event of a transfer of staff, the Transfer of Undertakings (Protection of Employment) Regulations will apply.
