Archiving services

Tender description

DSTL has a requirement to outsource its GxP Archiving activity. Potential suppliers are invited to register their interest in bidding for this work and confirming their archiving capabilities. The requirement will include the transfer and management of the existing archive and the on-going archiving of future documentation. The requirement includes the capability to generate certified electronic copies of all hard copy data and maintain this as an electronic archive. Further information is available on request from DSTL. Potential suppliers are invited to provide a without commitment indication of the likely costs based on a per box (of specified size) unit price for the initial shipping (and scanning where available), indexing, retrieval (including return shipping), annual storage and disposal Registering of interest and provision of indication of cost to be provided by 25.7.2017. Supplier to provide an archiving service for both the current and future GxP documentation. The service to include the transfer of the existing documentation and the future documentation for archiving. If possible the archive to cover both hard and electronic copies of documentation including generation of certified copies and timely retrieval to DSTL (within half a day of request). Data to be stored securely and safely in accordance with applicable Directives and Regulations. Access to personally identifiable medical records (hard & electronic copy) to be restricted to authorised personnel only. The current GxP archive at DSTL contains approximately 550 boxes of 1.25 cu ft. plus a further 50 larger boxes (approximately 2-3 x the capacity of the small boxes), In addition an on-going requirement of approximately 500-1000 boxes (1.25 cu ft.) are likely to be produced over the next 5 years.
