Tender description

Ipswich Borough Council (IBC) is responsible for a housing stock of approximately 8 500 properties and their maintenance. Contracts for the maintenance are ‘owned’ by Support Services within the Housing department All these properties are located in the Ipswich Borough boundary. This proposed contract for Asbestos Surveying is ‘owned’ by Maintenance and Contracts and involves carrying out approximately 300 surveys of individual properties per annum against a flexible schedule aimed at completing such surveys for all the properties. Over time., supporting the Kitchens AND Bathrooms replacement programme ‘owned; by the same department .The schedule may also be added to with requirements arising form the Rewires and Central Heating contracts voids and responsive repairs. In this way the actual number of surveys may at times be significantly above the rate represented by 1 000 pa. Sampling on a routine basis as well as for emergency attendance will be required. IBC utilise Keystone Asset Management software as a data base into which abstracts from Asbestos Surveys are entered. There are approximately 7 500 completed property surveys abstracted into Keystone in this way to date as well as 600+ abstracted into another proprietary system. Through the tender s IBC will seek to make the process of updating Keystone efficient or enabling access of appropriate information from Keystone possible for external contractors. Please note IBC require the Asbestos Survey data to be up loaded in bulk via a excel spread sheet (Our BSU Department will do the loading) or have direct limited access via Keystone, Also the asbestos survey reports should be as a PDF document. This contract is for 3 years with plus one year extension making a total of 4 years in total The contract is expected to start on Nov 2016.
