Provision of Record Services for UK BA

Tender description

The Contracting Authority intends to award a Pan Government Collaborative Contract available for use by all UK contracting authorities including but not limited to Government Departments and their Agencies, Non-Departmental Public Bodies the provision of the following services: • Secure and environmental storage of paper records and documents and some supporting electronic media. • Retrieval from and return to repository service • Verbal read over of specifically requested information • Fax back and (where appropriate) imagery on demand service • Attaching (linking) of correspondence to paper files held within repository • Access to files required urgently after the normal working Contractor’s hours • Secure destruction of specific file sets • Aggregated breakdown of cost and use of all services by business units. The total holding is 140,000 linear metres of paper records with 118,000 being at the current commercial provider’s site and the remaining 22,000 at Beddington Cross, a warehouse leased by UK BA but which is operated by the commercial provider. Associated services are demand led and activities such as linking and retrieval is high.
