Tender description
CIT invites Tenders from suitably experienced Service Providers to complete an independent audit and verify its range of fixed assets as detailed on the College’s Asset Register. The preferred timeframe for this audit is March to June in each academic year. 2.2 The assets selected for audit will be extracted from a number of Departments and/or Cost Centres within College. The purpose of the audit is to verify each asset’s location against its record on the College’s Asset Register. If an asset is listed as being on loan, then it’s associated paper work must be reviewed. 2.3 In each academic year, the appointed Service Provider will be provided with relevant extracts from the Asset Register in respect of the sample of approximately 1,000 asset items subject to review located at the College’s Bishopstown Campus, Cork and the College’s other facilities at the National Maritime College of Ireland in Ringaskiddy, the Cork School of Music and the Crawford College of Art & Design. 2.4 The major categories of assets subject to review are under the general headings of Information Technology and Educational Equipment. 2.5 Each asset item is a. Listed on the College’s Asset Register and is identified by a unique asset number, barcode, serial number, description and location; and b. Has a sticker fixed to it displaying the barcode. 2.6 The appointed Service Provider will a. Physically locate the assets listed to be audited. The list having been prepared by CIT from its Asset Register and provided to the Service Provide in an Excel spreadsheet format; b. For each asset: (i) The audit process will confirm the location of the asset, If the location is different from that recorded on the excel spreadsheet provided, it’s new location will be noted and provided in order to update the asset database (ii) Prepare an Exception Report to highlight assets that could not be found or where other issues have arisen
