Summary of the work To provide the trust with an Intranet & Website platform. Latest start date October 2016 Why the Work is Being Done The trust is looking to procure a team to help the development of a trust Intranet & Website platform. AllThe trust have received a number of questions relating to this procurement. These are along the lines of ;Where does the bidder get the specification document from ? The trust has developed a detailed specification based on our need & therefore would like this answered as part of submission - Therefore these can be requested from myself at Martin.Taylor@qehkl.nhs.uk or 01553613812 2. Has the trust got a budget in mind for the work ? The trust will be taking a business case to the board once a solution has been found.Whilst we have no budget set the board will advise the panel about project affordability. this project has COE sponsorship & is seen as a priority for the organisation 3. Could the trust confirm if there are two discovery phases for Intranet & website ? The trust has the option ( within the specification ) to award in lots, either standalone or as combination. The work the trust has done is mainly around the customer perception of both elements. Whilst the trust has a clear look & feel mandate, the discovery pieces of work were limited to customer feedback. 4. Could the trust clarify the submission date The date is 9 am on 26th September 2016. The reason for the extension is that the trust have a detailed specification & would like the bidders to be able to answer the questions posed in the best possible way. The trust will also shortly be advising on where to reply to the bids in due course 5. Could the trust specify the latest start date in October ? The components of work are to fulfil the Intranet Work stream by March 2017 & Website by December 2016. As this project has significant board approval due to its public element. The trust would want to see work starting as soon as the board rubber stamp the award. Therefore there is an expectation that a bidder will start work by End October & complete the Website work stream by December 2016. 6. Will there be an opportunity to meet with the trust before submission of ITT? This is practically impossible to achieve due to the high number of interested parties. The PCR 2015 regulations require us to treat all fair & equal, therefore we would have to meet with all. The trust feels that the information its provided is sufficient to enable a bid. But Please continue to raise clarifications if required to enable you to bid. 7. Is the Procurement Intranet & Website ? The bidders are free to either bid for separate lots or a combined bid of both. 8. Should the cost include Licensing & Support ? All cost for the project should be know & the evaluation model makes it clear that this will be for the whole life cost over the contract. Please ensure all costs are forwarded. 9. Does The trust want Flash ? After Review the trust feels this is a nice to have but its not a requirement & therefore we would accept a solution that does not utilise flash 10. Integration with other Hospitals - please provide the detail This is a nice to have & we are testing for future developments - ideally in the future we would want to integrate across the Norfolk Acute setting ie N&N & JPUH 11. Could you detail the trust approach to UX Work We will develop a plan with the winning bidders once the procurement is completed. We would want to see as part of the solution offering how bidders would approach this 12. Do we want to change the domain / CMS ? We want to keep the domain as is & there is no CMS preference - which ever is the most intuitive will score highly. 13. Who from a trust perceptive will run the the project ? Our Communications team are the key stakeholders & will be running the day to day contract 14. Do we need to see an example of project management documentation ? - ie PID Yes - The trust wants to test if it could work with a bidders PM approach 15. Do we have a Microsoft Enterprise Agreement ? Yes - Being an NHS Trust we have multiple licenses & thus an enterprise agreement
