Tender description

The Department for Culture, Media and Sport wish to commission a suitably experienced event management company to provide the infrastructure and logistical support necessary for the delivery of large scale First World War centenary commemorative events in Belgium to mark the battles of the Ypres Salient and, in particular, the Battle of Passchendaele. On the evening of 30.7.2017 there will be events at the Commonwealth War Graves Commission's Menin Gate Memorial, and in the Market Square, in Ypres. On Monday, 31 July there will be a commemorative event at the CWGC Tyne Cot Cemetery with supporting activities taking place at the Passchendaele Memorial Park (The Park) in Zonnebeke. The events will reflect the history and significance of the sites and remember those of all nations who lost their lives during the Battles of Ypres. The event company will work with DCMS and numerous stakeholders to deliver the infrastructure and logistical support necessary to deliver the events, which will take place in outside locations of historic significance. They will be filmed live and broadcast around the world. The Menin Gate event is likely to have an attendance of 400. Public attendance at the Tyne Cot event is likely to be around 5 000 with an additional 400 VIPs. We foresee the need for a public ballot for tickets to attend the event at Tyne Cot. The location of Tyne Cot makes arrival and departure challenging. We anticipate the need for a park and ride facility, probably from more than 1 location to support this event.
