Provision of Passenger Ground Transport Booking and Management Service

Tender description

The BBC currently has an in house booking and ground Transportation management service supported by a self developed internal system with an online booking front end. The in house service manages 400,000 passenger vehicle bookings pa, 87% of which are booked online. The system and online service is supported by a 24hr 7 days call centre, provided by a dedicated internal call centre team. As well as facilitating the booking process off and online, the system ensures policy adherence, determines and dictates the actual mileage per journey to the supplier for charging purposes, calculates P11D liability and deducts costs directly from salary for those individual bookings made outside of policy guidelines. The current system as well as sending confirmation emails also issues weekly excel “advice” notes to individual budget holders and can report on all data entered to detail of an individual passenger/booker, supplier or Divisional level. The preference is to award one contract for online and call centre booking services, however the BBC will still manage the passenger vehicle supplier contracts where it is deemed necessary for the BBC business continuity to do so.
